What Buyers Should Include in an Automotive Filter RFQ
Learn what to include in an automotive filter request for quotation, from part numbers and technical specifications to order quantities, OEM packaging, testing and delivery terms.
October 26, 2026 · RFQ Requirements
A well-prepared request for quotation (RFQ) helps automotive filter buyers obtain more accurate and comparable offers from manufacturers.
When key details are missing, suppliers may quote different product configurations, use different packaging assumptions or make different assumptions about quantities and delivery terms. This can make the lowest quoted price misleading.
For importers, distributors and private-label brands, an RFQ should communicate the product requirements and the commercial conditions under which a supplier is expected to quote.
Identify the Product Clearly
Start with the information required to identify the correct filter.
Provide as many of the following as are available:
- Filter category: engine air, cabin air, oil, fuel or another type.
- OE or existing aftermarket part number.
- Vehicle, engine or equipment application where relevant.
- Technical drawing or published product specification.
- Photographs of the existing filter and critical interfaces.
- Required dimensions and connection details where known.
If a part number or specification has not been verified, state that explicitly. Ask the supplier to identify any missing information rather than requesting an unconditional compatibility guarantee.
Define the Required Quantity
Quotation conditions may vary according to order volume.
Specify the estimated initial order, quantities per part number and expected repeat-order volume if known. For a multi-product order, provide a separate line for each model.
Also ask the supplier to identify its MOQ, price breaks, mixed-order arrangements and whether sample costs are separate.
Do not assume that the MOQ is the same across product categories or packaging configurations.
Specify Branding and Packaging
For an OEM or private-label project, explain whether you require plain packaging, your own brand, customised artwork, retail boxes, barcodes or master-carton markings.
State which packaging elements must be quoted separately and which are included in the product price.
If artwork or labels require approval, include that requirement in the RFQ so that packaging lead time can be considered before production.
Describe Quality and Testing Requirements
Specify the technical criteria relevant to the intended product and market.
Depending on the filter category, this may include dimensions, construction, application verification, filtration performance, pressure drop, contaminant capacity or other applicable criteria.
If a test standard is required, state its exact reference and edition where appropriate. Ask the supplier to confirm whether it can provide the relevant report and whether the report applies to the proposed product configuration.
Avoid generic instructions such as "highest quality" without measurable requirements. If acceptance limits are important, include the agreed values or request a technical discussion before quotation.
State the Commercial Conditions
For a meaningful comparison, an RFQ should identify the expected delivery basis and commercial assumptions.
Specify the destination country or port, required delivery date or target period, requested Incoterm where known, currency and expected payment arrangement.
Ask the supplier to separate costs where useful, such as sample charges, customised packaging, testing, tooling and freight. Confirm the conditions behind the quoted lead time.
A quotation that excludes a required packaging component or assumes a different delivery basis is not directly comparable with another offer.
Request the Documents You Need
Depending on the product, market and transaction, the buyer may require technical drawings, product specifications, test reports, quality certificates, inspection records, packing information or other documentation.
Identify the required documents before the quotation is finalised, and clarify which are available now versus which require additional work or approval.
Never assume that a supplier can provide a particular certification or test report without confirmation.
Use a Consistent Supplier Comparison Table
| RFQ field | Information to request |
|---|---|
| Product identification | OE number, supplier number and filter type |
| Application | Vehicle, engine or equipment reference |
| Technical specification | Dimensions, connection and relevant performance requirements |
| Quantity | Units per part number, MOQ and volume pricing |
| Branding | Private label, artwork and packaging requirements |
| Quality evidence | Applicable test reports and inspection records |
| Lead time | Sample lead time and production lead time |
| Commercial terms | Currency, Incoterm and payment terms |
| Logistics | Destination, carton details and loading plan |
| Documentation | Required technical and shipment documents |
| Exceptions | Missing specifications, assumptions and exclusions |
Ask every supplier to quote against the same specification and identify exceptions. This makes technical and commercial differences easier to compare.

How to Compare the Quotations
Review the offers in two stages.
First, compare technical compliance. Check product references, applications, specifications, test evidence and packaging assumptions. A low price should not compensate for an unresolved critical compatibility issue.
Second, compare the commercial offer: unit price, MOQ, sample cost, production lead time, packaging, shipping basis, payment terms and likely total landed cost.
Record deviations and request revised quotations when suppliers have made different assumptions.
Conclusion
A good automotive filter RFQ identifies the product, defines the technical and quality requirements, specifies the quantity and packaging, and sets clear commercial conditions.
The goal is not simply to obtain more quotations. It is to obtain offers that are technically comparable and can be evaluated against the same purchasing requirements.

Frequently Asked Questions
Should I include an OE number in every filter RFQ?
Include it when available and verified. If it is missing, provide application details, measurements, photographs and other identification information so the supplier can investigate the candidate.
Do I need to provide a complete technical drawing?
Not always. An existing part number and a reliable application reference may be sufficient for an initial quotation. A drawing or additional specifications become more important when compatibility is uncertain or the project involves customised products.
Can I ask several manufacturers to quote using the same RFQ?
Yes. Using a consistent RFQ helps you compare offers more fairly, provided all suppliers receive the same relevant specification and are asked to disclose exceptions.
